AV Project Management Built on Real-World Delivery Experience
AV Project Management Built on Real-World Delivery Experience
Complex projects rarely fall behind because one supplier cannot do its job. Pressure builds in the gaps between suppliers: late information, shifting layouts, unconfirmed responsibilities, conflicting programmes, long-lead equipment and an opening date that is already printed.
Audiotek provides project management as a service in its own right. We can manage the entire project, oversee every consultant, contractor and supplier, and protect the client’s brief, budget, programme and operational goals. That appointment does not depend on Audiotek designing, supplying or installing any part of the job.
Sometimes Audiotek may also deliver one specialist package. In that case, our project management role still covers the whole job and all the other suppliers, with clear responsibilities and transparent reporting. The aim is not more meetings. It’s experienced oversight, faster decisions, fewer surprises and a venue that is ready when it needs to be.
One project. One experienced point of oversight.
AV projects crisscross across architecture, structure, interiors, power, data, mechanical services, AV, lighting, specialist fabrication, content and operations. A decision made inside one aspect can alter cost, access, performance or the programme elsewhere. Audiotek gives you one experienced team to oversee the whole picture and make the dependencies visible while there is still time to act.
Audiotek’s experience spans experiential design and AV systems integration, as well as live delivery. That means we can challenge information intelligently; understand the consequences of change and ask the questions a generic programme tracker may miss. The project plan is not just about dates; it is about protecting what the venue is meant to become.
What Audiotek manages across the whole project
Scope, roles and responsibilities.
We define the full project scope and set clear boundaries between the client, architects, consultants, contractors, manufacturers and specialist suppliers. If Audiotek is also delivering a package, its responsibilities are identified separately. Clear ownership prevents important work from disappearing into the phrase ‘someone else is doing that’.
Programme, information and approvals.
We build and maintain an integrated programme across design releases, approvals, procurement, construction, installation, testing and opening. Information and decisions are tracked against the dates every package needs them, not discovered when a consultant or site team is already waiting.
Procurement and logistics.
We oversee supplier schedules, lead times, substitutions, manufacture, shipping, storage and site delivery across the project. Purchasing may sit with the client, Audiotek or individual suppliers; the management task is to align every commitment with the build sequence and expose risks early.
Technical coordination and change.
Design questions, interfaces and changes are recorded, reviewed and closed with the right people across every package. When the room or brief moves, we assess the effect on performance, cost, programme and other systems before a convenient local decision becomes an expensive project-wide problem.
Site delivery, commissioning and close-out.
We oversee access, sequencing, progress, snags, integrated testing, training and handover across the supplier team. Completion is measured against the agreed project outcomes: packages working together, records current, responsibilities closed and the venue team ready to operate.
Whole-project oversight, informed by delivery experience.
Audiotek can be appointed to manage the entire venue project on the client’s behalf, not merely the AV workstream or a package we supply. We coordinate the wider consultant, contractor and supplier team, maintain the master view of scope and programme, and make sure decisions are understood beyond the package in which they begin.
The value comes from having people who understand delivery, not only reporting. We know why a late ceiling detail affects loudspeaker coverage, why network architecture can change the control strategy and why testing cannot be compressed into the final afternoon. Audiotek’s installation and commissioning service may form one delivery package, but it is not a prerequisite for the project management appointment. Where both services are used, scopes and reporting remain clearly separated.
From first brief to opening night.
Establish the delivery plan.
We confirm the project brief, package boundaries, governance, decision-makers, master programme, budget assumptions and principal risks. Everyone should know what success means, what they own and who can unblock the next step.
Coordinate the design.
We coordinate information across architecture, structure, services, technology, interiors, operations and other disciplines. Interfaces are reviewed and approvals happen early enough to guide the build rather than document what has already happened.
Procure, prepare and deliver.
We oversee procurement plans, off-site preparation, logistics and site readiness across the supplier packages. Long-lead items, client decisions and cross-package dependencies receive attention before they become critical-path emergencies.
Install, commission and hand over.
We coordinate the contractors and suppliers through installation, integrated testing, snagging, documentation, training and close-out. Progress is measured against a whole venue that must be ready to operate, not a collection of packages that are individually almost finished.
Different sectors. Different programme pressure.
Nightlife and live entertainment.
Bespoke fabrication, moving structures, show control and a fixed launch date create dense technical dependencies. The programme has to protect creative ambition without treating safety, testing or backup planning as optional extras.
Theatres and performance venues.
Work may need to fit around performances, visiting productions, heritage constraints and limited dark time. Information, access and commissioning windows have to be planned with unusual precision.
Hospitality, retail and visitor attractions.
Technology and specialist packages must coordinate with interiors, brand content, opening teams and everyday operations. Phased handovers and simple controls matter as much as the headline installation.
Sports and large public venues.
Large sites add multiple zones, long infrastructure routes, specialist safety requirements and non-negotiable event dates. Decisions need to be controlled across the whole venue, not room by room in isolation.
Experience behind Audiotek project management.
77 London
Inside a tight, asymmetrical basement, Audiotek coordinated structural engineering, specialist fabrication and the hotel build team around a ceiling-hung LED centrepiece, winched lighting and immersive audio. Detailed planning kept every system aligned and the final fit-out was delivered ahead of schedule.
Omnia, Las Vegas
Omnia brought three venue environments, a kinetic chandelier, audio, lighting, video, automation and specialist rigging into one opening programme. Audiotek worked with architects, mechanical engineers and rigging specialists, then supported commissioning, show programming and live-event integration.
National Concert Hall Dublin
A complete main PA replacement had to fit between back-to-back events in a protected cultural venue. Audiotek coordinated a tight installation programme, overnight working, non-invasive rigging, rehearsals, testing and collaborative fine-tuning with the venue and L-Acoustics teams.
Cheltenham Racecourse
Two connected upgrades – a sitewide Q-SYS control system and a grandstand PA overhaul – were delivered across a live racecourse programme. Audiotek coordinated consultants, manufacturers, infrastructure and testing from June to October 2025 without downtime during the preparation season.
Project management is a standalone Audiotek service.
Audiotek can manage a project where every design, supply and installation package is delivered by other organisations. If the client also appoints Audiotek for audio system design, lighting design or video system design, that work remains one clearly defined package within the wider programme. The project management role continues to oversee all suppliers and protect the client’s overall outcome.
Project planning insights.
These Audiotek insights show why early decisions, technical coordination and an understanding of the building matter long before installation begins.

Give your project one, clear, direction.
Whether the project is a new venue, a major upgrade or a tightly phased refurbishment, Audiotek can manage the whole programme from first brief to operational handover. We can do that without supplying any other package, or while delivering one clearly separated element. Bring us the brief, the supplier structure, the pressure points and the opening date; we will turn them into one deliverable plan.
AV project management FAQs
What does an AV project manager do?
Audiotek’s project manager can coordinate the whole venue project: scope, programme, information, approvals, procurement oversight, logistics, risks, site activity, integrated testing and handover across consultants, contractors and suppliers. The exact authority and responsibilities are agreed at the start.
When should AV project management begin?
Ideally, before architectural, structural, services, technology and programme decisions are fixed. Early involvement exposes dependencies while they are still inexpensive to resolve, although Audiotek can also join an established project after a scope, risk and programme review.
Can Audiotek manage a project designed by another consultant?
Yes. Audiotek can manage the full project when the design and every delivery package sit with other organisations. We review the available information, responsibilities, interfaces and performance requirements, then establish the controls needed to move the project forward.
Does Audiotek need to supply or install any part of the project?
No. Project management is available as a standalone service. Audiotek may deliver no other package, or we may deliver one defined element while managing the entire project and overseeing all other suppliers. Any Audiotek delivery scope is kept distinct within the project controls and reporting.
Does AV project management include equipment procurement?
It can. Audiotek can oversee equipment schedules, purchasing responsibilities, lead times, substitutions, off-site preparation, shipping, storage and delivery across suppliers. Direct purchasing can remain with the client or delivery companies, or form part of an agreed Audiotek package.
Can Audiotek work alongside the main contractor and client project manager?
Yes. Audiotek can act as the client’s project manager for the whole venue, or work alongside an existing client project manager or main contractor with an agreed division of authority. Responsibilities, reporting lines and escalation routes are set out before delivery begins.
Can Audiotek manage international AV projects?
Yes. Audiotek supports projects internationally and can coordinate project leadership with local teams, consultants, contractors and specialist partners. The delivery structure is agreed around the location, programme and scope.
